The International Rescue Committee (IRC), one of the world’s largest global humanitarian NGOs, provides aid, rehabilitation, and development assistance to vulnerable individuals and communities in over 30 countries. Our engagement in Ethiopia began in 2000 in response to a severe drought in the Somali region. Currently, we are actively involved in six regions in Ethiopia, delivering emergency and development programs encompassing health, water and sanitation, economic recovery and development (ERD), women’s protection and empowerment, education, child protection, and multi-sectoral emergency response.
Job Title: Digital Archivist (3 Month Contract)
Overview:
The Digital Archivist will play a crucial role in supporting the entire IRC Country Office. This position focuses on ensuring the completeness of all program-related data, compliance with donor regulations, and the efficiency of internal archiving processes. By doing so, the Digital Archivist contributes to enabling IRC teams to concentrate on client needs and strengthen trusted relationships with donors.
Key Responsibilities:
The Archivist will collaborate across all IRC Ethiopia functions to ensure that key documentation supporting compliance and expenditure eligibility for institutional donors is digitally archived and appropriately structured. Responsibilities include:
Understanding donor requirements for various expenditure categories.
Adapting the global document scanning policy as needed.
Understanding current documentation practices (both physical and digital).
Assessing and addressing the backlog of documentation awaiting digital archiving for relevant projects.
Establishing a digital folder structure for applicable projects where necessary.
Physically scanning documentation, storing, and naming digital files for easy understanding and navigation.
Transitioning ownership of Digital Archiving to functions in a manner ensuring continuity.
Educational Requirements:
BA Degree in Accounting and Finance
Preferred Experience & Skills:
0 years of experience for BA Holders; 1 year of experience for TVET certificate holders.
Experience in working with online data management systems (e.g., Box, Dropbox, Google Drive) is ideal.
Previous project management experience, preferably in document or data management.
Experience with scanning hardware is desirable.
Ability to understand relevant policies and critically assess their adaptation to the country context.
Skilled communicator, capable of explaining requirements and gaining buy-in from relevant staff.
Language Skills:
Ability to communicate in English.
